Collateral, forms needs solved for growing dental firm

The Client:

This is a thriving multi-state dental management company with more than 200 offices in nine states. For five years in a row, they have been named by Inc Magazine among the nation’s fastest growing companies.

The Business Challenge:

Rapid expansion and success created challenges for this Michigan-based company. They needed a faster and more cost-effective way to provide a growing number of dental offices with office forms, stationery, direct mail, business and appointment cards and personalized marketing materials. All materials needed to be corporate-approved. The company also needed a vendor to handle a corporate appointment reminder program with weekly postcard mailings for every office.

The Solution:

With its track record of growth, the company decided to seek a full-service partner, not just a printer. They sent a detailed request for proposal to numerous Midwest companies.

HKM offered access to broad capabilities and a history of serving national clients. HKM’s proposal focused on providing a “one-stop shop” along with personal and proactive support and program management.

At the heart of the HKM proposal was an online store where the dental offices could order forms and marketing materials. A simple-to-use interface would allow for personalizing information for each location. Orders for inventory items would be immediately packed and shipped. Orders for personalized items would be queued for corporate marketing approval before printing.

With a value-added “partner approach,” HKM offered to track inventory counts and provide advance notice to allow ample time for art to be revised before items would be reprinted. Monthly invoices to the corporate office would allow for accurate billing by office, itemized by order.

Appointment and check-up reminder postcard data would be pulled from corporate records, processed and presorted, then merged with the art for variable data of office name, location, appointment date and time for each patient. Address standardization and National Change of Address (NCOA) processing for First Class Presort would ensure on-time delivery and cost savings on postage.
